CTC Auto Group ("Company," "we," "us," or "our") operates the CTC Dash platform at ctcdash.com. This Privacy Policy describes how we collect, use, store, and protect information from authorized users ("you") of the Platform.

By using CTC Dash, you acknowledge that you have read and understood this Privacy Policy. This policy applies to all information collected through the Platform, including data related to SMS communications.

Information We Collect

We collect the following categories of information from Platform users:

Authentication Data Hashed passwords, login timestamps, session data, IP addresses
Phone & SMS Data Phone number, SMS consent status, message delivery logs, opt-in/opt-out records
Usage Data Actions performed on the Platform (audit logs), feature usage, browser/device information
Business Data Vehicle evaluations, trade-in records, and other operational data entered during normal Platform use

SMS Data & Communications

When you provide your phone number and grant SMS consent through the Platform, we collect and process the following SMS-related data:

  • Phone number — stored in E.164 format for message delivery
  • Consent records — when consent was granted, modified, or revoked
  • Message delivery logs — message content, delivery status, timestamps, and Twilio message identifiers
Your SMS Rights

Opt-Out: Reply STOP to any message to immediately cease receiving SMS from CTC Dash. You may also contact your system administrator to remove SMS consent through the Platform.

Help: Reply HELP to any message for support information.

No Sharing: We do not sell, rent, or share your phone number or SMS data with third parties for their marketing purposes.

Rates: Message and data rates may apply. Contact your wireless carrier for details about your plan.

How We Use Information

We use collected information for the following purposes:

  • Platform Operations: Authenticating users, managing access, and delivering Platform features
  • SMS Notifications: Sending operational alerts (escalation notifications, resolution updates) to consented users
  • Security: Detecting unauthorized access, monitoring for suspicious activity, and maintaining audit trails
  • Compliance: Meeting regulatory requirements including IRS reporting obligations
  • Improvement: Analyzing usage patterns to improve Platform functionality and performance

We do not use your information for marketing, advertising, or any purpose unrelated to Platform operations.

Data Sharing & Third Parties

We share limited information with the following service providers who assist in Platform operations:

  • Twilio — SMS delivery provider. Receives phone numbers and message content solely for the purpose of delivering text messages. Twilio's use of this data is governed by their own privacy policy.
  • Cloudflare — Network security and content delivery. Processes connection metadata (IP addresses, request headers) for security and performance.

We may also disclose information when required by law, regulation, legal process, or governmental request, or when necessary to protect the rights, safety, or property of CTC Auto Group or others.

We do not sell your personal information to any third party.

Data Retention

We retain your information for as long as your account remains active or as needed to provide Platform services. Specific retention periods include:

  • Account data: Retained for the duration of your account, plus a reasonable period after deactivation for audit and compliance purposes
  • SMS consent records: Retained for a minimum of 5 years after consent is revoked, as required for compliance documentation
  • Message delivery logs: Retained for 1 year for operational troubleshooting, then archived
  • Audit logs: Retained for a minimum of 3 years per our compliance requirements

When data is no longer needed for its stated purpose, it is securely deleted or anonymized.

Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Password hashing using industry-standard algorithms
  • HTTPS encryption for all data in transit
  • Role-based access controls limiting data visibility to authorized personnel
  • Automated account lockout after failed login attempts
  • Audit logging of all significant user and system actions
  • Regular encrypted backups with off-site storage

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
